This is the email you would receive if the paper is accepted. The parts in brackets are filled in for your paper.
Subject: ICSAC review complete — accepted — [your submission ID]
[Your name],
Your manuscript has been accepted for publication by the Institute for Complexity Science and Advanced Computing.
Submission ID: [ID]
Title: [title]
Received: [date]
Decision: [date] — accepted
Attached are the panel report and the review-quality audit. Your paper was read in two rounds by a panel of independent reviewers (the report lists every pass and its scores), and the panel itself was audited for rubric adherence, consistency, specificity, tone and its use of the verification evidence (the citation checks and the code package digest). You are reading the same record we publish.

Your response, by [date, seven days after this email]
One action is needed from you.
Open your personal link to approve publication. The page asks you to sign in with the ORCID iD you submitted with; the link and that sign-in together are your signature. There you can also tick anything you would rather we did not do — social media, print or broadcast advertising, newsletters, website features, or the annual print and ebook edition of Persistence — each all-or-nothing; leave a note for the curation team; ask us to hold and correct something; or withdraw:

If we have not heard from you by [the date], we proceed with publication. After the DOI is registered the record is permanent and changes are made by published correction. If the page does not work for you, email [email protected] with your submission ID in the subject line.
What happens next
- We register a DOI for your paper under the institute's own prefix and publish it in Persistence, the institute's journal, online first at icsacinstitute.org, with the panel's open review record alongside it. You will receive a second email with the DOI and the links once both are live. Nothing is needed from you.
- Each volume of Persistence is also printed as an annual paperback and ebook, sold through the major retailers, the channels libraries and universities buy from, and icsacinstitute.org, and every paper in the volume is eligible for that edition. If yours is included you will hear from us 60 to 120 days before the edition's publication date with a short intent-to-publish form (a headshot, a short biography). We do not answer questions about inclusion before then, so add [email protected] and [email protected] to your contacts.
- [What the check of your reference list found.]
Terms of publication
These are the terms you accepted at submission, restated so nothing is a surprise:
- You keep the copyright. The paper is published under the licence you chose; the institute holds a non-exclusive licence to publish it. You may post or republish your PDF anywhere.
- The paper is published in Persistence online under that licence, and appears under the same licence in the annual print and ebook edition if included. The edition is sold as a paperback and ebook; authors pay nothing and are paid nothing, and there are no free, discounted, draft, or author copies. Credential holders will receive a member discount on copies.
- We may, but do not promise to, announce and promote your paper on the institute's website, social media, newsletters, and print or broadcast materials, at no cost to you. You can exclude any of these, or the annual print and ebook edition of Persistence, below on this form or on your response page.
- You will be listed as [your name as it will appear, with affiliation if given].
- [Your preprint, if any, keeps its own DOI and the two records are linked.]
About this review
[What the blind-review preprocessing removed from your manuscript before the panel read it, and where to write if you want to contest it.]
If you would tell one colleague about this process, we would be glad of it. If you write a few words about the process in the notes box on your response page and tick the box beneath it, we may quote them, with your name, when we describe the institute to other independent researchers.
